Holly Butler Counseling

Policies & FAQ

What to expect, in plain terms.

A few practical things worth knowing before we get started — scheduling, payment, insurance, and confidentiality.

Scheduling & Communication

How we'll stay in touch

How do I reach Holly between sessions?

Email is the primary way we'll handle scheduling, questions, and brief updates. Expect a response within 1–2 business days. Standard email isn't fully secure, so if you have privacy concerns, just let me know and we can talk through alternatives.

What's the cancellation policy?

  • Please give at least 24 hours' notice by email to cancel or reschedule.
  • Sessions canceled with less than 24 hours' notice need to be made up that same week (Mon–Fri) or are subject to a $65 late fee.
  • Two consecutive no-shows without notice will place future appointments on hold until we reconnect about readiness to continue.

Are sessions in person or virtual?

All sessions are held virtually. You'll just need a private space and a reliable internet connection.

What states do you see clients in?

I'm licensed and able to see clients located in both Arizona and Tennessee.

What happens after I book my first session?

Once we've scheduled your first session, I'll send over the welcome and intake paperwork to complete beforehand, so we can make the most of our time together.

Insurance

Self-pay, with superbills available

Do you accept insurance?

Holly Butler Counseling operates on a self-pay basis. If you'd like to seek out-of-network reimbursement, I'm happy to provide a superbill with the information your insurance company typically requires (dates of service, procedure and diagnosis codes, and provider information).

What should I know before submitting a superbill?

  • You're responsible for verifying your out-of-network mental health benefits before starting treatment.
  • A superbill doesn't guarantee reimbursement — that's determined by your insurance company.
  • You're responsible for submitting superbills and following up on reimbursement directly with your insurer.

Confidentiality

What stays private — and the limits

Is what I share confidential?

Yes. Information shared in session is confidential and won't be disclosed without your written permission, except as required or permitted by law.

What are the exceptions?

  • Reasonable concern of harm to yourself or another person
  • Suspected abuse or neglect of a child, or a vulnerable or dependent adult
  • A valid court order or other legal requirement
  • Professional consultation, which always protects your privacy

Still Have Questions?
